What is the best software for a solo dietitian who takes insurance?

The short answerFor a solo dietitian who takes insurance, the right software depends on two things: how much of your revenue is insurance, and whether you want to do the coding yourself. If you are mostly cash-pay with some insurance, Practice Better is the strongest all-round platform. If you want the lowest list price for unlimited claims, Kalix. If you share a practice with therapists, SimplePractice. If you need a team calendar or an API, Healthie. If insurance is most of your revenue and the coding and claim work is the problem, Duo Practice drafts the note and the claim from the visit for 3.9% of what the insurer pays, with a free chart. Prices are as of October 26, 2026.

Disclosure: Duo Practice is one of the options on this page, and we wrote it. Competitor prices come from their own pricing pages, checked October 26, 2026, billed monthly. Each section says where another tool is the better fit.

How to choose by practice type

Mostly cash-pay, some insurance. Practice Better. Its programs, packages and client portal are why dietitians choose it, and its Claim.MD connection covers the occasional claim. Its AI Charting Assistant starts at $10 a month on Professional and up.

Mostly insurance, and you are happy coding. Kalix has the lowest list price for unlimited claims, at $27 plus $15 a month. SimplePractice costs more but has a mature claims system and fits a practice shared with therapists; its claim fee starts at $0.39 a claim from October 1, 2026, per SimplePractice's support center.

Mostly insurance, and the coding and claims take your evenings. Duo Practice. It records the visit, writes the MNT note, and drafts the claim from it: CPT code, units from how long the session ran, ICD-10 codes, modifier and place of service. You approve, and it files under your NPI through your own Claim.MD account. When the ERA arrives it matches the payment and explains any denial. Duo has no client portal, programs or group features.

Growing into a team, or building a product. Healthie. Group plans, roles and an API. AI Charting is $35 a month for 40 hours on Plus ($129.99) and up.

What a month costs at 20 claims

A worked example on list prices billed monthly, for 20 paid claims a month at an average of $126 each (our own average across the claims paid for our two practices; yours will differ):

Software Clearinghouse Total before AI notes
Duo Practice $0 chart + 3.9% of $2,520 = $98.28 Claim.MD Small Volume $60 (100 claims) $158.28
Healthie Essentials $49.99 ClaimMD integration at Claim.MD's prices: Small Volume $60, plus a $50 to $100 setup fee $109.99
Kalix Standard $27 Managed clearinghouse $15 $42
Practice Better Professional $69 (300 clients) Claim.MD Small Volume $60 $129
SimplePractice Starter $49 20 × $0.39 = $7.80 $56.80

On price alone, Duo is not the cheapest at this volume. What the percentage buys is the claim work: in every other row you choose the codes and count the units yourself. Claim.MD's $30 Basic plan includes no claims (you pay per item), which is why the example uses Small Volume. SimplePractice's claim fee falls as monthly volume rises, so $0.39 is its top rate. Count your minutes per claim in a trial and add them to the comparison. Healthie's Claim.MD FAQ says it charges the same prices Claim.MD does, so we used the same plan in every row that runs on Claim.MD. Practice Better's Starter plan stops at 10 clients, so the example uses Professional. For a longer cost walkthrough, see best billing software for dietitians.

What any setup has to cover

Eligibility before the first visit, a note that supports the time, the right CPT (97802 or 97803) and diagnosis, the claim sent as an 837P, and the ERA posted when the payment comes back. Our dietitian insurance billing guide walks through each step, and how to bill 97802 and 97803 without denials is the checklist to run before you submit.

Duo Practice, in short

What it is
Duo Practice is a free EHR with insurance billing built in. It drafts the note and the claim from the visit, files the claim under your NPI once you approve it, matches the payment and explains denials.
Who it's for
Independent registered dietitians who bill insurance.
Price
The chart is free. Billing is 3.9% of what the insurer pays on each claim, with no monthly fee, so a claim paid $0 costs $0. You pay Claim.MD directly for your own clearinghouse plan.
How it differs
Practice Better, Healthie and SimplePractice give you claim tools and leave the claim work to you. Duo Practice does that work, and it can run on top of the EHR you already use.

Frequently asked questions

Do I need an EHR and separate billing software?

Not always. Practice Better, Healthie, Kalix and SimplePractice all include claims, through Claim.MD or their own clearinghouse. Duo Practice includes a free chart, and it can also run next to Practice Better, importing your clients and insurance.

What does a solo dietitian need from software to bill insurance?

An eligibility check, a note that supports the time billed, the right CPT and ICD-10 codes, a clearinghouse to send the 837P claim, and a way to read the ERA when the payment comes back. Check which of those steps the software does and which it leaves to you.

Is a percentage or a flat fee cheaper for billing?

A flat fee is cheaper once your collections are high enough, because a percentage grows with them. A percentage costs less in slow months and nothing on denied claims. Compare both on your real monthly collections and count your own hours too.
