Billing service

Your dietitian insurance billing, on autopilot

In shortDuo Practice runs insurance billing on autopilot for independent registered dietitians: it does the work a dietitian billing service does, from the eligibility check to the posted payment, as software on top of the EHR you already use, and you approve every claim before it goes out. It costs 3.9% of what the insurer pays on each claim, with no monthly fee, so a claim paid $0 costs $0. Claims go out under your NPI through your own Claim.MD account, which Claim.MD bills you for directly.

Disclosure: this is Duo Practice's own page, so it describes our service. Where a billing company or doing it yourself is the better fit, we say so below.

Run your practice's insurance billing on autopilot. Duo Practice charts the visit, builds the claim from your note, files it under your NPI once you approve it, matches the payment when it arrives and explains every denial, and you review all of it in one place.

Most dietitians who bill insurance end up choosing between three things: do the billing yourself at night, pay a billing company a share of collections, or hire someone. Duo Practice is a fourth option: the billing team you never had to hire, as software. It does the steps a biller does, on top of the EHR you already use, and charges only when insurance pays.

What it costs on your claims

The price is 3.9% of what the insurer pays on each claim. There is no monthly fee, the chart is free, and a denied claim costs nothing. Put your own numbers in the calculator above; the defaults are ours.

The $126 default is real: across the 333 claims our practices have been paid on since May 2026, insurers paid about $42,000, or roughly $126 per paid claim. Your average depends on your payers, your codes and your units per visit.

Watch the billing agent work

A 55-second demo with sample patients: the agent reads the week's visits in Practice Better, files the claims, posts two payments and fixes a rejected claim (a sex mismatch) before resubmitting it.

What a billing service does, and what Duo Practice does

Step A billing service or in-house biller Duo Practice
Eligibility Calls the payer or runs a 270/271 check Runs the 270/271 eligibility check through your Claim.MD account
Coding Reads your note, picks CPT, ICD-10 and units Builds the claim from the note, with units from how long the session ran (see 97802 vs 97803, or check one visit with the CPT code finder)
Filing Submits from their system, often under their login Files under your NPI through your own Claim.MD account
Payment posting Reads the ERA, posts and reconciles Reads the remittance and matches each payment to its claim
Denials Works the denial, may appeal Explains each denial code in plain English; a corrected claim goes back out the same way. Appeals stay with you
Reporting Monthly report Every claim's status, live

The whole sequence, step by step, is in our dietitian insurance billing guide.

How it works

  1. Bring your clients. Connect Practice Better with its API keys and your clients and their insurance come over. Nothing is written back to Practice Better. SimplePractice support is coming soon.
  2. See the patient. Run the visit as a video visit in Duo Practice or record alongside the call you already use. Duo drafts the MNT note from the transcript and you sign it.
  3. The claim builds itself. CPT code, units from the session length, ICD-10 codes, modifiers and place of service come from the signed note.
  4. It goes out under your name. You approve the claim, and it files through your Claim.MD account under your NPI.
  5. Payments come back matched. When the 835 remittance arrives, each payment lands on its claim, and every adjustment code is translated. Our denial code pages explain the common ones.

Duo Practice vs a billing company vs doing it yourself

Duo Practice Billing company Do it yourself
Price model 3.9% of what the insurer pays Usually a share of collections, sometimes a monthly minimum; ask for the contract Your time, plus a clearinghouse plan
Who files Your Claim.MD account, your NPI Their staff, often in their own systems You
Appeals and prior auths Not included Often included You
Speed The claim is ready when the note is signed Depends on their queue Depends on your evenings
Best for Solo and small practices billing MNT that want the work done without handing over control Practices with many appeals, complex payer mixes, or no wish to touch billing at all Low volume, one or two payers

A billing company is the better choice if you need appeals worked for you every week or don't want to look at billing at all. Doing it yourself is fine at low volume; we priced that route in the true cost of a DIY billing stack. If credentialing is your blocker, that is a separate job: see credentialing service vs DIY.

Coming from Practice Better or Healthie?

You don't have to switch. Duo Practice works on top of Practice Better: keep it for programs and the client portal, and let Duo handle the claims. Which billing steps Practice Better's own Claim.MD connection leaves to you is mapped in Practice Better insurance billing. We compare the options honestly, including where the other tool wins, in Practice Better alternatives for insurance billing, Healthie alternatives, Practice Better vs Healthie and free EHRs for dietitians.

Frequently asked questions

How much does a dietitian billing service cost with Duo Practice?

3.9% of what the insurer pays on each claim, and nothing else from Duo Practice: no monthly fee, no setup fee. A claim the insurer pays $0 on costs $0. You also need your own Claim.MD account, which Claim.MD bills you for directly.

Is Duo Practice a billing company?

No. It is software that does a billing team's work: it checks eligibility, builds the claim from the visit, files it through your Claim.MD account under your NPI, matches the payment when the remittance arrives and explains each denial. There is no outside biller holding your logins or your claims.

Do I have to leave Practice Better?

No. Duo Practice imports your clients and their insurance from Practice Better and writes nothing back, so Practice Better stays exactly as it is. Many practices keep it for programs and the client portal.

What doesn't Duo Practice do?

It doesn't handle prior authorizations or appeals, and it doesn't credential you with payers. You need your own payer contracts, your own NPI and your own Claim.MD account before claims can go out.

Who is it for?
